Why does your IT team need a partner?
TIME: There's a huge learning curve for anyone who has never done construction work and your IT people already have full-time jobs. A partner can gather design requirements, create construction drawings, create and manage RFPs, approve submittals, attend meetings, solve problems, manage changes, and go onsite to coordinate work and review progress... which saves your IT team a great deal of time.
EXPERTISE: An experienced partner can show you options you haven't considered that might save you time, money, and regrets. An experienced partner will have tools that improve the design and function of your IT services. And an experienced partner also knows from experience what to communicate, when, to whom, and how.
OWNERSHIP: An experienced partner knows what impacts your IT infrastructure, what other disciplines intersect with it, and what gets in the way if not attended to. Bridging the gaps and managing the overlaps between disciplines like IT, AV, Security, and MEP, is how your IT infrastructure gets built to spec, and an experienced partner can own managing all of that for you.
I help IT teams get the most out of their new office build or renovation project. I help define the requirements, document them, and get them included in the larger construction process. I do it by working like a project manager, representing the IT team in all things construction. And my way into that is low voltage design and managing its installation: that's network cabling, MDF/IDF design, AP placement, and integration with other disciplines.
With a background as an IT administrator, IT Project Manager, and literally hundreds of workspace design/build projects, both from the client side and as a professional consultant, I've lived in the middle of that Venn diagram for 3 decades, designing, building, and assuring the quality of IT infrastructure for my clients.
Build IT Design and Project Management is my private consulting practice, established in 2023 in Holly Springs, NC, but I've been working as a consultant since 2018 in the San Francisco Bay Area, specializing in build projects all over the US, Canada, Mexico, Europe and India.
It all starts with a conversation with you and your team about your network/IT requirements. We'll also talk about your internal needs and where and how you might need me to step in.
We'll develop a scope of work and I'll estimate the work for you in a proposal that is tailored to your needs and a scope that can be further adjusted to fit your budget. If we need to value engineer tasks out of my scope, we can assign those to your team and I'll PM their efforts on these tasks.
There are some baseline work that you'll want to include in my scope of work because they help you avoid preventable problems, delays and cost overruns:
Design your MDF/IDF rooms to assure that the room has sufficient power, cooling and physical space to house all of the servers, switches, telecom and other equipment that needs to live there.
Create a predictive WiFi survey in Ekahau to give you the most scientific and reliable view of where your APs should be placed and how you might want to configure their function for this space.
Create Issue for Bid and Issue for Construction drawings to document the SOW for low voltage contractors and specify their work through the end of construction.
Create a Detailed Patching Matrix that groups like devices together on the patch panels and switch ports to simplify switch port/VLAN configuration for your network admins. You'll be able to know exactly what device is patched into what switch port, and they'll be color coded to match what's on the floor and on the patch panels. This document allows the low voltage contractor to rack and stack your network switches and do the patching for you.
I have some design-only clients who take over the construction management at this point, because they have people on their team who are capable of taking over at this point. However, I also have clients who keep me on through the end of construction, where I'm the accountable person for everything that happens up to the first day of business on the new site.
If we choose to continue my scope of work to PM the work through to the first day of business, I can own the quality and completeness of any area you need me to manage:
Ongoing Coordination - I can be the go-to project manager for problem solving and cross-functional coordination for all aspects of the IT infrastructure that's being built: as much or as little as you need me to manage.
Manage Quality - I can oversee the work of the low voltage contractor to assure that they build the infrastructure as we specified it in the Issue for Construction drawings. I can review and approve submittals, solve problems, set expectations and fix mistakes before they become problems.
Manage Change and Risk - I can keep you current on any risks to cost or schedule and we can decide together what mitigations can be done should risks materialize. I can track and communicate changes, making sure that the construction teams are aware of the changes and actually implement the changes to specification.
AV, Security, BMS and IoT - So many things tie into the network and rely on it to accomplish their functions: AV equipment in conference rooms and presentation spaces, Security Cameras and Card Readers, Building Management Systems, Sensors, and the Internet of Things devices... I can help manage and coordinate with your team and the other contractors to assure that everyone has what the need when they need it, and that everything works.
As-Built Documentation - If there are significant changes from the Issue for Construction drawings, we can produce an as-built drawing of your space that shows everything exactly where it was installed, and I can revise the Patching Matrix. Posting these in the MDF/IDF will help your network admins track down and solve Layer1 problems on the network.
Letting me serve as your IT PM through the end of the construction project gives you an accountable single-point-of-contact for everything that touches IT.
